Operations Specialist II
12month Contract
Remote- EST Hours

Responsibilities
• Support operations for the Global Medical Training & External Engagement teams to carry out the execution of business as needed, and directed by External Engagement & GMA Training Excellence Department (EE_GMATE) leadership within the remit of GMA
• Independently manage daily tasks as understood, while remaining flexible to any change in priority
• Coordinate large team meetings and logistics in a timely manner as directed with a high degree of skill and proactivity
• Responsible for execution of and over sight of EE_GMATE’s SharePoint, Monday.com, Outlook, TEAMS, Articulate 360, Storyline 360, DeepL, ComplianceWire, ATLAS, Ariba and HIP activities (i.e., CDAs, purchase orders, contracts, invoice management, etc.) to ensure they occur efficiently and effectively
• Ensure that appropriate resources such as department calendars, monthly reports, department plans, GMA ELEVATE materials are current and centrally located to help with access, usability, and version control
• Support data entry, facilitate document review/approval and ensure information / materials within departmental & IT systems are current to support GMA process
• Supports execution and dissemination of department metrics and monthly reports
• Help manage facets of professional meeting/congress support (i.e., attendance tracking/exhibits/booths)
• Collaborate with internal and external partners to remain current on the latest tools and trends to help improve processes, and enhance the way we do business to show value
• Collaborate with functional business partners, i.e., medical excellence & operations, business unit personnel, IT, legal/compliance, corporate communications to help drive transparency and collaboration of EE_GMATE activities and ways of working
• Help ensure alignment to budget by working to gather relevant financials to meet Finance guidance in scope and on time


Qualifications
• Bachelor's degree and 3+ years of experience in a similar role
• Proficiency required with Microsoft Office 365 Suite, Monday.com, SharePoint, Power BI/Automate & TEAMS
• Experience with eLMS/ComplianceWire, Articulate 360, Storyline 360
• Comfort working with multiple groups within business
• Experience with expense record keeping
• Masterful technology orientation and natural curiosity
• Ability to work independently, comfortable with remote supervision, and meeting the needs of multiple stakeholders
• Able to work from home online with a dedicated workspace and reliable internet connection
• Desire to seek process improvements and efficiencies and be agile in moving through a swiftly growing our environment
• Ability to thrive in a fast-paced working environment and multitask
• Presents self in a highly professional manner to others and understands that honesty and ethics are essential
