Summary
Our client, a Fortune 500 pharmaceutical company, is seeking a Document Management Specialist to support document control activities within a regulated environment. This role is responsible for creating, revising, reviewing, and maintaining procedural documents in compliance with regulatory requirements and internal procedures. The Document Management Specialist will collaborate with cross-functional teams to manage document workflows, maintain standardized documentation, support training deployment, and ensure documents are audit-ready within an EDMS.

Responsibilities
  • Assist functional teams with the creation, revision, review, and approval of procedural documents in accordance with regulatory requirements and company procedures.
  • Facilitate document review, routing, tracking, and approval processes within the Electronic Document Management System (EDMS).
  • Create and maintain standardized document templates, formatting, and styles.
  • Maintain and organize controlled documents within the EDMS.
  • Collaborate with the Training department to coordinate the deployment of training for new and revised documents.
  • Provide documentation support during internal audits and regulatory inspections.
  • Generate and maintain department metrics and documentation reports.
  • Support process improvement initiatives related to document management and document control.
  • Complete all required training and perform additional documentation-related tasks as assigned.
Qualifications
  • Bachelor’s degree preferred.
  • 1–3 years of experience working with an Electronic Document Management System (EDMS).
  • Experience supporting document control or documentation management in a regulated environment.
  • Advanced Microsoft Word and Excel skills required.
  • Proficiency with Microsoft PowerPoint; Microsoft Visio experience is a plus.
  • Familiarity with GxP regulations is preferred.
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple priorities and work effectively with cross-functional teams.
  • Strong written and verbal communication skills.
